    What Are Simplified E‑Invoices?

    A simplified invoice is an invoice containing fewer mandatory data elements than a full, or “standard,” invoice. When you issue it in purely electronic form, meaning created, transmitted, and stored digitally, it becomes a simplified e‑invoice.

    The key characteristics are that it is electronic, so PDFs don’t count. It is in formats like XML, EDI, Peppol BIS, or any structured format. It requires fewer fields than normal invoice or e-invoice, that’s why it's mainly used for B2C clients.

    And each country puts different thresholds and regulations, so cross-border doesn’t really work.

Most countries also regulate under which threshold you can issue an e-invoice. For example, if the invoice is above €400 you should still invoice a normal one.

    Simplified e-invoices are not allowed when:

  • B2B buyer wants to reclaim VAT.
  • Not suited for high-value or international deals.

    What are Mandatory Contents of a Simplified E‑Invoice

    Simplified invoices must meet minimum data requirements. It’s mainly so the purchases can be taxed, achieved and serve as proof of ownership for the client.

    In most countries:

  • Supplier’s full legal name and VAT ID
  • Invoice date (and optionally time)
  • Unique sequential invoice number
  • Description of goods or services
  • VAT rate applied (or reference to exemption)
  • VAT amount or the phrase “VAT included” with the tax rate
  • Gross amount payable
  • But generally doesn’t require things like the buyer’s full name or VAT ID, complete address or a detailed breakdown of services
